Position Summary

The Administrative Assistant will provide secretarial and administrative support to the Employee Education Department, including, but not limited to assisting with incoming educational needs, typing, proofreading, preparing reports, processing correspondence, scheduling meetings, recording at meetings, receiving visitors, maintaining files and conducting special projects as assigned. The Administrative Assistant is responsible for providing high quality customer service and display excellent administrative skills in the areas of Employee Education. The Administrative Assistant is expected to function well as a member of the Education Department and participate in community relation activities, performance improvement activities, and hospital sponsored events.

Position Education/ Qualifications

  • • High School/GED One (1) year of related administrative assistant experience Computer skills required with knowledge of Microsoft Office Ability to read, write and speak English Ability to effectively interface with a variety of people and be flexible to changing work priorities and work well under stressful situations

Job Knowledge/Experience

  • • Ability to work as a member of a team and promote teamwork with other staff members Requires excellent written and oral communication skills with attention to detail Experience in customer service-oriented position Experience in taking notes and preparing meeting minute Requires working with frequent interruptions.

Position Responsibilities

  • • Promoting the facility mission, vision and values by effectively communicating them to others.
  • Considers mission, vision and values in developing services, standards and practices.
  • Prepares and updates forms, brochures, publication and other informational materials used by DHR employees, students, educators, and other interested individuals.
  • Prepares a variety of reports, statements and rosters and gathers data and other necessary information.
  • Provide support for LMS system and be able to provide a seamless continuation of the creation, implementation, assignment, and reporting of courses in the LMS.
  • Provide administrative support to Employee Education department by providing reception services, scheduling appointments, meetings, and travel, filing, researching files and records, and preparing and proofreading correspondence, reports, and other documents as requested.
  • Accepts and screens telephone calls and routes calls appropriately; promptly and graciously responds to calls and visitors and determines the urgency of the situation; suggests appropriate referrals or informs department when the situation warrants immediate attention.
  • Maintains records, prepares reports, and correspondence related to training implemented.
  • Consistently is attentive to detail, record keeping and required paperwork inherent to the position.
  • Tactfully handles difficult situations; contacts are handled professionally and consistently with courtesy.
  • Other duties as assigned.

Customer Service

Provide excellent customer service to all DHR customers. All employees are required to attend the DHR C.A.R.E.S program which outlines the Customer Service Principals including: Commitment, Accountability, Respect, Excellence and Service.

Employees must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served in his/her assigned unit. The individual must demonstrate knowledge of principles of growth and development over the life span and possess the ability to assess data reflective of the patient’s status and interpret the appropriate information needed to identify each patient’s requirement relative to his or her age.
