Position Highlights

In addition to standard administrative coordinator responsibilities (calendar management, correspondence, document control, scheduling, and departmental support), this role provides comprehensive administrative coordination across Accreditation, Quality, Risk Management, Infection Control, Medical Staff, and Patient Safety functions, supporting leaders and ensuring regulatory, operational, and committee requirements are met.

Medical Staff & Committee Coordination

  • Coordinate all medical staff meetings, including room reservations, food ordering, calendar scheduling, meeting materials, and audiovisual support
  • Prepare, distribute, and archive agendas, minutes, and supporting reports for medical staff committees
  • Track action items and follow‑up items from meetings to ensure timely completion
  • Coordinate annual medical staff meetings, including provider invitations, calendar invites, logistics, and documentation retention

Safety & Risk Management Administrative Support

  • Prepare agendas, minutes, and reports for safety huddles and distribute to appropriate leaders and committees
  • Provide administrative coordination for risk management activities, including tracking subpoenas, coordinating depositions, managing documentation, and supporting legal timelines
  • Coordinate patient safety and workplace violence committees, including agenda development, meeting logistics, minutes, reporting, and action‑item tracking

Credentialing Administrative Support

  • Prepare and distribute provider credentialing correspondence, including affiliation letters and credentialing decision letters
  • Track and organize provider procedure logs and supporting documentation
  • Coordinate credentialing-related meetings and communications, including annual reviews and appointments
  • Maintain accurate credentialing documentation files in collaboration with Medical Staff Services

Infection Prevention & Control (IPAC) Support

  • Compile, manage, and distribute weekly hand hygiene data
  • Prepare monthly and quarterly hand hygiene and infection control reports
  • Coordinate IPAC and Surgical Site Infection (SSI) meetings, including agendas, minutes, and supporting reports
  • Track follow‑up actions and reporting deadlines related to infection prevention initiatives

Survey, Accreditation, and Regulatory Support

  • Coordinate internal and external survey visits, including room placement, meeting scheduling, survey agendas, and food arrangements
  • Support survey planners and leaders with schedules, materials, and logistical coordination
  • Distribute accreditation reports, tracer summaries, and rounding reports to applicable departments
  • Support ongoing accreditation documentation management and communication

Quality Program Administrative Support

  • Coordinate Quality Committee activities, including agendas, minutes, reports, and meeting logistics
  • Compile and distribute monthly Press Ganey reports, including leader‑specific and department‑specific communications
  • Track quality initiatives, action items, and reporting timelines in support of leadership

Complaints, Policy, and Departmental Support

  • Participate in complaint triage processes and assist with documentation, tracking, and response coordination
  • Support departmental policy updates, version control, distribution, and archiving
  • Provide direct administrative support to department leaders, including document preparation, reporting, scheduling, communication coordination, and organizational support

A Brief Overview
Performs diverse and complex secretarial/administrative duties, scheduling of daily activities, retention and organization of documentation and data and follow-up functions for management staff. With minimal instruction or supervision, provides support for the the Department in the following areas: Office management; Coordinates administrative support of the Department and efficiency with reception/secretarial functions; data management; record retention and assurance of confidentiality.

What you will do

  • Performs generalized secretarial duties including, but not limited to: Transpose hand written or verbal communication to typed format (i.e. correspondence, reports, charts, and minutes of meetings); edits and makes copies of transposed information if necessary; collates and assembles reports and documents; answering phone calls.
  • Responsible for meeting arrangements/coordination/facilitation.
  • Coordinates schedules and appointments as requested.
  • Assists with the analysis, collection and maintenance of records and data. Assists in preparation of reports and presentations.
  • Attends meetings as required and participates on committees as directed. Responsible for coordinating the agendas and recording accurate minutes for assigned organizational committees.
  • Gathers appropriate information from various sources for credentialing processes.
  • Completes projects as assigned.
  • Receives customer requests or inquiries in person, telephone, or mail, analyzes requests, and provides information requested or ascertains who can best provide the information, and routes requests to the proper person in a timely and courteous fashion. Responds independently and appropriately as needed.
  • Assists with physician onboarding as well as other tracking and reimbursement for physicians or leadership staff as assigned.

Required Education, License/Certification, or Work Experience:

  • Associate's or equivalent from 2 year college or technical school; 2-5 years related experience and/or training; or an equivalent combination of education and experience
