Job Summary

The Medical Records Specialist is responsible for preparing patient medical records for physician review. This includes but is not limited to obtaining outside records or films as requested, filing of patient records, ensuring all loose paperwork related to the patient, is properly filed in records, processing release of information requests, and handling all confidential related matters related to the daily mail, patient charting, rounds, and other related activity.

Job Specific Responsibilities

Daily assignments may include but are not limited to:
• Prepare customer requests for film, files, or medical documentation
• Assist in coordinating patient care by ensuring file is complete and ready for review at time of appointment. This may include but not limited to requesting external film or medical documentation from outside hospitals or providers.
• Assist in coordinating mail/deliveries for assigned department
• Provide prompt response to customer calls, voicemails, emails, and mail inquiries within 48 hours of receiving
• All other assigned duties as requested by assigned department

Education and Experience

  • High School Diploma or GED
    • Type 35 wpm accurately

Skills and Abilities

  • Demonstrated communication skills, both verbally and in writing. Must be able to speak, read, and write English
    • Computer knowledge; Proficient use of Microsoft Word
    • Ability to maintain confidentiality

Interaction with Other Departments and Other Relationships

The person in this role will have interactions with all departments and employees within UMC. Close interactions with registration staff, patients, family members, and some outside entities

Physical Capabilities

Position requires prolonged time periods of sitting at a desk, talking on a phone, and working on a computer. Essential hearing and near vision acuity required. Should be able to lift up to 20 pounds

Environmental/Working Conditions

Work area is well lighted, and subject to varying indoor temperature changes. Work is in high risk blood borne pathogen and radiation areas.
