Position Highlights
Job Summary:
Directs and supervises all clinic operations for the Redfield and Doland Clinics through clinic management, clinical, and administrative support staff. Responsible for the functions of physician relations, staffing, strategic planning, development of clinic goals, budget, materials management, policies, procedures, protocols, regulatory compliance, performance improvement, certification and accreditation, and staff/patient education. This position is also responsible for collaboration with the clinic billing office to ensure acceptable performance of the billing, A/R management, and collection of accounts. This position maintains clinic statistical data and prepares monthly schedules, vacations, and CME time for physicians and mid-level providers, including MD/APP coverage for the Emergency Room (ER).
Supervisory Responsibilities:
Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Essential Job Functions:
Directs and supervises all clinic operations for the Redfield and Doland Clinics through department leads and administrative support staff. Consults with and collaborates/directs staff on a regular basis. Responsible and accountable for the core operations/functions of physician relations, staffing, materials management, policies, procedures, and operational protocols, regulatory and corporate compliance, quality metrics, staff orientation and competency, performance improvement planning, and equipment maintenance and repair. As a member of the leadership team, serves as a role model of the leadership principles resulting in positive communication and problem solving. Resolves any medical-administrative problems and keeps lines of communication open with staff to ensure high employee morale and a professional, healthful clinic atmosphere. Knows and adheres to applicable laws and regulations. Maintains an accurate and acute knowledge of industry regulations and compliance standards. Maintains basic knowledge of Medicare reimbursement principles. Reviews and updates departmental policies and procedures. Develops and revises policies, procedures, and protocols to reflect current regulations. Ensures staff have appropriate education and training prior to implementation. Maintains an accurate knowledge base of certification/accreditation requirements. Provides education and assures the development of readiness plans. Serves as the team leader for accreditation visits. Selects, develops, and retains staff to accomplish objectives. Assures the maintenance of position control, staff mix, and a scheduling process to maintain appropriate staffing levels. Assures the development, implementation, and evaluation of staff orientation and continuing education to include competencies. Evaluates staff performance and handles employee discipline when necessary. Monitors Medical Necessity reports to ensure appropriate ordering and subsequent reimbursement of ambulatory testing. Assemble data for monthly statistics. Review and share with CEO and Finance Director. Oversee departmental payroll, ensuring timecards are updated and complete prior to submitting to Human Resources. In collaboration with the CEO, completes strategic and operational planning. Works in collaboration with hospital department leaders on initiatives, training, and education relative to Clinic staff and/or operations. Collaborates with Marketing department to deliver information and education to the public. Maintains professional affiliations and enhances professional growth and development to keep current in the latest trends in clinic administration. Serves as the project leader for planning, implementation, and evaluation of various quality and performance initiatives as determined by CEO. Assists in operating and capital budgets planning for clinic departments. Communicate overall clinic performance to physicians, providers, and staff regularly via operations council or practice meetings. Prepare and distribute the monthly physician schedule. This includes weekday and weekend call schedules for the ER. Process requests for PTO, CME, and other deviations from the normal schedule. Obtain approval from Administration for these requests. Manages patient, provider, and staff complaints. Follows up with appropriate personnel and/or departments. Other duties as assigned.
Essential Physical Demands:
- Dexterity necessary for keyboarding, filing, sorting, lifting, stapling, and writing. Frequent repetitive motion of the hands and wrists while doing computer entry.
- Effective communication skills and hearing. The employee is required to talk or hear and use hands to finger, handle, or feel.
- The employee is required to stand, walk, sit, and reach with hands and arms.
- The employee must occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Required Communication/Mathematical/Reasoning Skills:
- Must possess the required level of skills and abilities to read, write, speak, and apply mathematical concepts and sound reasoning to successfully perform the essential duties and responsibilities of this job.
- Must be able to perform basic operations on a computer within the Windows operating system.
- This position requires problem solving skills, critical thinking skills, and the ability to multi-task.

Equipment Used to Perform Job:
Computer: To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software; knowledge of LSS and Meditech preferred but will train.
Education and/or Experience:
- Minimum of a bachelor's degree from a four-year college or university and/or experience in a business or healthcare related field required.
- Healthcare Management experience preferred.
- Three to five years of experience in clinic management preferred but not necessary.
